# Reporting to Head Office From Thailand: One Set of Books, Two Views

Keep one set of books in Odoo for Thai VAT and withholding tax, and give your head office its own report in the group chart, currency and calendar

Cloudnex team24 Oct 20265 min read

In short

- Keep one set of books in Odoo, in the Thai chart of accounts and in baht. That is what the Revenue Department and your auditor see.
- Map each Thai account to your group's reporting line once, during set-up. New transactions follow the mapping automatically.
- Agree the exchange rates and calendar with head office, then build their report once. Each month it's ready when the Thai books close.

If your company in Thailand is part of a group overseas, every month-end has two audiences. The Revenue Department needs VAT and withholding tax returns in baht, from books kept under Thai rules. Your head office needs a report in its own format: its chart of accounts, its currency and, often, its own financial year.

Many Thai subsidiaries meet both needs with a second set of numbers in a spreadsheet beside the accounting system. Every adjustment then has to be made twice, and the two versions slowly drift apart.

There's a simpler model. Keep one set of books, and give each audience its own view of it.

## Two audiences, two views

One set of books

Odoo, Thai chart of accounts, in baht

Thai view

For the Revenue Department and your auditor

TFRS chart · THB · PP 30 · PND 3 and PND 53 · 50 Tawi

Head office view

For the group reporting pack

Group chart · group currency · group calendar · cost centres

**The Thai view** is your book of record. It follows Thai standards and stays complete in Thai format:

- A Thai chart of accounts aligned with TFRS
- Amounts in Thai baht
- VAT reports for PP 30, withholding tax reports for PND 3 and PND 53, and 50 Tawi certificates
- Thai-language tax invoices with your 13-digit tax ID and branch number

**The head office view** reads the same entries and regroups them for the group:

- The group's chart of accounts, or the lines of its reporting pack
- The group currency, at the rates head office specifies
- The group's calendar, if its financial year ends in a different month
- The cost centres, projects or business lines head office tracks

Nothing in the head office view is typed in again. It's a translation of what's already in the books.

## How it works in Odoo

### 1. Keep the Thai chart as the books of record

Every invoice, bill, payment and journal entry is posted once, in the Thai chart of accounts and in baht. This is what your auditor and the Revenue Department see, so it stays complete and in Thai format.

### 2. Map each Thai account to a group line, once

A group reporting pack usually has fewer, broader lines than a Thai chart. During set-up, each Thai account is mapped to the group line it rolls into. For example, several Thai expense accounts may roll into one "Administrative expenses" line. The mapping sits on the accounts themselves, so new transactions follow it automatically. When your team adds an account later, they choose its group line at the same time.

### 3. Agree the currency rules

Your books stay in baht. For the head office view, Odoo converts amounts using the exchange rates it stores for each date. Agree with head office which rate applies to which lines. A common choice is the month-end rate for the balance sheet and the month's average rate for profit and loss. Odoo can fetch rates automatically, or your team can enter the rates head office sends.

### 4. Tag what head office tracks

If head office reports by cost centre, project or product line, tag transactions with analytic accounts as they're entered. The Thai view isn't affected by the tags. The head office view groups by them.

### 5. Build the group report once

With the mapping and rates in place, the head office report is built in Odoo's report designer, in the order and wording of the group pack. Each month it's ready as soon as the Thai books close. Your team can open any line to see the entries behind it, or export the report to Excel for the group's consolidation file.

## A month-end that runs in one pass

1. Close the Thai books: bank reconciliations, accruals, and the VAT and withholding tax reports.
2. Confirm the month's exchange rates.
3. Run the head office report and review the movements against last month.
4. Export or share the pack with head office.

Corrections made in step 1 flow straight into step 3, because both views read the same entries.

## Questions to settle with head office first

- Which group line should each Thai account roll into? Ask for the group's mapping template if one exists.
- Which exchange rates, from which source, apply to which lines?
- When does the group's financial year end, and is it different from yours?
- What is the monthly reporting deadline, and in what format: Excel, PDF or a consolidation tool?
- How are intercompany charges, such as management fees, recorded on both sides?

With these answers agreed before set-up, the head office report is right from the first month.
